Five Daily Work Tasks You Should Delegate to AI

Today’s technologies make delegation even easier, through the use of robotic process automation (RPA) and artificial intelligence (AI).

Password Resets

With passwords becoming more case sensitive, specialized, and complex, it is common for users to easily forget them. Such a small problem presents itself daily for IT support departments across various businesses.

Along with hackers getting smarter and more sophisticated, it makes sense for man-hours to be better spent on building stronger security systems, than helping staff members and customers reset their passwords.

One Novatio customer saw that around 10-15% of password resets were made from one IT agent to another, when permissions or applications failed. In our solution, an agent makes a reset request in their web portal and the digital worker does the rest (unless human intervention is needed). The agent-to-agent requests were eliminated and workers freed to solve more important issues.

Scheduling Meetings

Email has become a faster way to communicate amongst professionals. Often, customers and consumers prefer this method to face-to-face conversation.

When personal conversations are required, however, much time is wasted trying coordinate schedules. With many professionals having synced calendars, it seems silly that so many “send” clicks are wasted on this everyday task.

A digital worker can be copied on emails and take over the scheduling process. By giving them access to your calendar, they can send dates and times of when you are available. Once a date and time is selected, the robot can enter the meeting into your calendar.

Translating Emails

Many businesses work internationally. In some cases, language barriers can cause miscommunication and other issues. Digital workforces can translate emails before they hit recipient inboxes, making communication between global associates seamless.

No forwarding to someone who is fluent in Chinese, Japanese, French or Italian; or copying and pasting into Google and hoping it will make sense of it. Digital workers can be taught to detect emails that are in a foreign language and use software to translate them to English. As well as giving you the option to click “See Original” and revert the email back into the original language.

Answering Employee FAQs

If IT spends a great deal of time resetting passwords, managers and HR reps spend just as much time answering the same questions over and over again. While repetition can prove to be effective workplace communication, it is also very time consuming.

Leave common questions about holidays, benefits, travel, expenses, and other topics to digital agents.

Robots can be loaded with answers they send when emailed questions. They can also be taught to recognize when multiple employees are asking the same question so they can send mass emails to the whole group.

Ordering Office Supplies

Ordering supplies for the office is a basic and simple task. Inventory is checked and items ordered, little-used items are removed from the rotation while new items are requested. And someone supervises items are delivered and stocked. The bigger the company the more laborious the process.

Digital workers can easily manage this workflow. Digital workers can be given a monthly shopping list to search and choose the merchants with the best price, or the merchant you prefer. They can also place the orders online themselves, and handle special or additional supply requests made by email.
